List cleaning basics
List cleaning means identifying contacts who cannot or will not receive marketing mail usefully—then stopping campaign sends without inventing performance claims. Official Brevo and Omnisend help centers describe bounce classes, blocklists/unsubscribes, and unengaged segments. Confirm each step inside your own vendor account; this page is not legal advice and does not guarantee inbox placement.
Why list hygiene matters
Mailbox providers watch engagement and bounce patterns. Vendors document that inactive or invalid addresses can raise bounce and complaint pressure over time. Omnisend’s list-cleaning article recommends cleaning every 3–6 months as a best practice, and its anti-spam guidance keeps bounce rate under 4%. Brevo recommends reviewing lists at least yearly—and more often when engagement drops or bounce/unsubscribe metrics rise.

Hard bounce vs soft bounce
| Type | Meaning (vendor docs) | Typical platform response |
|---|---|---|
| Hard bounce | Permanent failure: address invalid/nonexistent, or the receiving server permanently blocks delivery (Brevo). | Brevo automatically blocklists hard-bounced addresses. Omnisend automatically unsubscribes hard-bounced contacts. |
| Soft bounce | Temporary failure: full inbox, temporary server issues, message size, content/reputation blocks, and similar (Brevo). | Brevo retries deferred mail for about 36 hours; five consecutive campaign soft bounces can lead to blocklisting (not applied the same way to transactional). Omnisend may remove contacts after repeated soft-bounce failures. |

Blocklist, unsubscribe, or delete?
- Brevo blocklist: Contacts blocklisted for campaigns (unsubscribe, spam complaint, hard bounce, or manual blocklist) are excluded from that channel. Brevo strongly recommends blocklisting unengaged/invalid contacts instead of deleting them, so you keep history and avoid accidental re-import as subscribed.
- Omnisend unsubscribe: Omnisend’s inactive-contact guide recommends unsubscribing disengaged contacts rather than deleting, so store/history data can remain while campaign sends stop. Unsubscribed contacts can still receive transactional messages in many setups.
- Delete: Deletion can erase history. Both vendors warn that deleting can make accidental re-import harder to prevent. Prefer the vendor’s suppression/unsubscribe/blocklist tools unless you have a documented reason to purge.

Finding unengaged contacts
- Define inactive for your cadence. Omnisend suggests multiplying typical days between campaigns by about 3–4 (for example weekly senders often use roughly 21–28 days; their walkthrough uses a 90-day default as a starting point).
- Filter on engagement. Brevo documents filtering CRM contacts by Engagement status → Unengaged. Omnisend documents refining a Lapsed email subscribers segment with open/click rules over your chosen window.
- Protect recent buyers. Omnisend stresses combining email engagement filters with purchase behavior so recent customers who simply do not open mail are not treated as inactive.
- Optional re-engagement. Omnisend describes sending a re-engagement campaign, waiting 7–14 days, then unsubscribing contacts who still do not engage.
- Suppress, then monitor. After cleaning, continue watching bounce, complaint, unsubscribe, open, and click trends in campaign reports.

Starter checklist
- Export or segment hard bounces and confirm they are suppressed automatically by your ESP.
- Review soft-bounce reasons before mass suppression—temporary full inboxes are not the same as abandoned addresses.
- Build an unengaged segment with a cadence-matched window and a purchase exclusion where ecommerce data exists.
- Prefer blocklist/unsubscribe over delete for suppression lists.
- Document when you cleaned and which filters you used so the next review is repeatable.
- Do not treat list size as a success metric; engaged reachable contacts matter more for comparison shopping than raw totals.
- After a major import or purchased-list incident risk, pause broad campaigns until bounce classes and consent records are reviewed in the ESP.
- Keep a short internal note of which official help articles you followed so future teammates can repeat the same hygiene steps.
